Setting up Your Personal voice Mailbox

 

From your telephone:

Without lifting the handset press the “6” key.  This will give you your extension number

 

Recording Your Personal Greeting

 

1)      Press the MW button or VMAIL button or MSG Key to access the voicemail system.

 

2)      Enter your 4 digit security code if prompted.

 

3)      Notice one of the options in the display says “GRT” for greeting

 

4)      Depress the soft key under the letters “GRT”.

 

5)      Select GRT 1 for greeting #1

 

6)      Select the option “LSTN” (listen) to hear the previously recorded greeting

 

7)      Select the option “REC” (record) to record a new greeting

 

8)      When recording is complete select the option “DONE” or press the # sign

 

Recording Your Name

 

1)      Press the MW button or VMAIL button or MSG Key to access the voicemail system.

 

2)      Enter your 4 digit security code if prompted.

 

3)      Press the digits 76 (RN) for RECORD NAME

 

4)      Follow the prompts to record your First and Last Name

 

5)      When recording is complete select the option “DONE” or press the #

Setting Your Security Code (Optional)                                

 

1)      Press the MW button or VMAIL button or MSG Key to access the voicemail system.

 

2)      Enter your 4 digit security code if prompted.

 

3)      Press the digits 67 (OP) for Options Menu

 

4)      Select the Option “SEC” (Security) in the display

 

5)      Follow the prompts to enter or change your 4-digit security code

 

6)      Note: if you forget your security code you must contact ASAP to have it reset

 

Notifying Your Cell Phone

 

1)      Press the MW button or VMAIL button or MSG Key to access the voicemail system.

 

2)      Enter your 4 digit security code if prompted.

 

3)      Press the digits 67 (OP) for Options Menu

 

4)      Select the Option “Notify” in the display

 

5)      Follow the prompts to verify that the Notify Function is currently turned on

 

6)      Choose the time of day you wish the system to begin calling your cell phone

a.       For example, 07 – A (07 – 2) would be 7:00am

 

7)      Choose the time of day you wish the system to end calling your cell phone

a.       For example, 09 – P (09 – 7) would be 9:00pm

 

8)      Select the Option “NUM” in the display to enter your cell phone number

 

9)      Enter your cell phone number

a.       If your cell phone is a long distance number, remember to include 1+area code and number

 

10)  Follow the prompts to exit the system

Recording and Sending a Message to a Co-Worker

 

1)      Press the MW button or VMAIL button  or MSG Key

 

2)      Enter your security code if prompted

 

3)      Press “RS” (77) to Record and Send a Message

 

4)      Enter Mailbox number of the person you want to receive the message when prompted

 

Accessing Your Mailbox

 

1)      Press the MW button or VMAIL button  or MSG Key

 

2)      Enter your security code if prompted

 

3)      Follow the prompts to retrieve your messages

 

Accessing Your Mailbox Remotely (From a Phone outside the company)

 

1)      Call the Main Telephone Number

 

2)      When prompted by the voice mail to enter the extension you are trying to reach, press the # key followed by your extension number

 

3)      For example, Press #302

 

4)      Enter you security code if prompted

 

5)      Follow the prompts to retrieve your messages

System Administrator

 

System administrator functions must be performed from a telephone that has System

Administrator privileges.

 

Note:  Improperly changing the voicemail greetings and other system administrator functions could result in adverse conditions affecting your telephone system, and should only be performed by someone who has knowledge of the proper procedures and mailbox structures.  Always listen to the previously recorded greetings prior to recording new greetings.  If you need assistance please contact ASAP

Instructions on changing the main greetings

 

1. From an extension that has system admin privileges (Usually ext 300) Press the

            MW VMAIL or MSG Button

      2.   Enter your security code (if prompted).

      3.   Dial 72 (SA).

      4.   In the display press the key for INST.

      5.   You will hear a prompt asking the mailbox number,

            - Enter 001 (Day greeting)

                   Thank you for calling XYZ Insurance Company.

 

  1. After entering the mailbox number you will have the option to record, listen or      

exit.

 

Follow the same process to record greetings #002 and #003 and so on
